A single stretched chain or a leaking shaft seal can throw off depositing accuracy, ruin a batch of syrup, or force an unplanned line stoppage that costs thousands in lost output. 1. Daily / Per-Shift: Visual, Audible, and Hygiene Checks

The fastest and most effective maintenance step costs nothing: observation. During shift changes and the daily post-production CIP/flushing routine, operators should complete the following checks in 5–10 minutes:

Listen and look: During startup and steady running, listen for squealing from gearmotors, metal-on-metal friction from chains or belts, or rhythmic knocking from conveyor rollers. Watch for belt tracking deviation, vibration, or chain skip. Any of these signs indicates a developing problem that should be logged and addressed before it escalates.

Cleanliness is protection: Sugar dust and syrup residue are hygroscopic—they attract moisture and form a corrosive paste that seeps into chain joints and bearing housings. Use a soft brush and food-grade cleaner to remove sugar buildup from all transmission areas, especially sprockets, tensioners, and guide rails, then dry thoroughly. A wet, sugar-laden environment accelerates pitting corrosion on carbon steel components far beyond what stainless steel surfaces experience.

Fastener check:​Vibration from continuous operation gradually loosens motor bases, gearbox feet, conveyor frames, and safety guards. A quick walk with a torque wrench or even a visual scan for shifted components can prevent a loose motor from walking off its alignment within days.

Mechanical seals (cooking and dissolving agitator shafts): Inspect the seal gland or collection cup for signs of syrup or steam leakage. If vacuum hold time degrades during operation, the shaft seal and door gasket should be the first suspects. A weeping seal may seem minor, but it introduces moisture into the bearing housing and contaminates the product zone.

Safety interlocks: Confirm that all transmission guards, emergency stops, and overload protections are in place. Never bypass a safety circuit "just for cleaning"—a moment of convenience can lead to a lifetime of regret.

2. Weekly: Lubrication, Tensioning, and Alignment

In candy equipment, lubrication is a food-safety issue as much as a mechanical one. Only NSF H1 food-grade lubricants should ever be used on or near production machinery.

Chains and sprockets (conveyors, elevators, mold carousels): After shutdown and cleaning, apply food-grade chain oil to pins and rollers (every 3–5 days; increase frequency in high-humidity or CIP-heavy areas). The correct amount is "enough to cover the surface without dripping." Wipe off excess with a clean cloth—over-lubrication attracts sugar dust, creating a gritty abrasive paste. Check tension: on horizontal drives, the slack side should have a sag of approximately 1–2% of the center distance (or per the equipment manual). Too loose causes chain skip; too tight overloads the bearings.

Bearings (idlers, rollers, fans, agitator supports): Regrease with food-grade grease, filling the housing to about one-third to one-half capacity. Always wipe away old grease and sugar dust before applying new grease to prevent carbonized, abrasive residue from circulating. A bearing that feels warm to the touch after greasing may have been over-packed; adjust accordingly.

Synchronous / V-belts (servo and motor ends): Inspect for cracking, fraying, or glazing from slippage. Check finger-pressure deflection against manufacturer values. Misalignment causes edge wear—correct pulley parallelism before the belt fails.

Gearbox exterior: Check the oil-level sight glass or plug for leaks. Ensure the breather/vent cap is clear of sugar buildup. Feel the housing temperature; any abnormal temperature rise should be logged for investigation.

3. Monthly: Deep Inspection and Critical Fastener Re-torque

Chain wear quantification: Measure the length of 10 chain links. If elongation exceeds 1.5–2% compared to a new chain (or the manufacturer's tolerance), or if sprocket teeth show a "hooked" profile, plan for replacement. Always replace chains and sprockets together when possible—a new chain on a worn sprocket will wear rapidly and may skip under load.

Conveyor belts / mesh belts: Inspect edges for fraying, check welds or articulations, and verify roller rotation. Adjust tension so sag is ≤5 mm per meter of span. The belt should track straight without rubbing the frame.

Gearboxes and motors: Re-check foot bolt torque. Assess motor bearing temperature, vibration, and fan cover cleanliness. Record current draw under no-load and full-load conditions; a growing gap between the two indicates rising mechanical resistance.

Mechanical seals (SWM-MC / SWM-JC600 / SWM-AFD agitators): Inspect the seal chamber for accumulated liquid or crystallized sugar. Confirm that flush or barrier fluid circuits (if equipped) are flowing. If a high-pitched squeal occurs at startup or vacuum retention drops, schedule disassembly to inspect rotating and stationary faces and O-rings.

Couplings / universal joints: Check for cracked elastomeric elements, worn pin bores, and loss of concentricity. Misaligned couplings transmit vibration directly to bearings and seals, dramatically shortening their life.

4. Quarterly / By Operating Hours: Oil Changes and Wear-Part Rotation

Gearbox / gear reducer oil change: After the initial run of approximately 300 hours (or per the manual), inspect oil condition. Thereafter, change oil typically every 2,000–3,000 operating hours, or every 6–12 months (whichever comes first; continuous operation, high ambient temperature, or frequent start-stop cycles call for the shorter interval). After draining, flush the magnetic drain plug and bottom housing. Refill with the specified viscosity food-grade or equipment-approved gear oil to the mid-point of the sight glass. Operating temperature rise should remain within allowable limits.

Bearing re-lubrication / seal assessment: For continuously running motor and fan bearings, supplement grease or schedule replacement based on L10 life calculations and vibration trends. Check oil seal lip hardening and grease leakage.

Belts, scraper linkages, and cam followers: Evaluate wear clearance. On reciprocating demolding conveyors for gummy and hard candy lines, pay special attention to pin-and-bushing clearance to prevent depositing position drift.

Spare parts readiness: Maintain on-hand inventory of half-links of the correct chain size, one spare sprocket set, one spare belt, mechanical seal kits, bearings, and oil seals. The cost of a spare part is always less than the cost of a day's downtime.

5. Annually / Overhaul: Precision Restoration and Record Review

Full alignment / dynamic balancing: Perform laser shaft alignment or dial-indicator centering on agitator shafts, pump couplings, and other critical driveline connections. High-speed components such as fans or pumps may require dynamic balancing to eliminate vibration at source.

Gearbox teardown inspection: Open the housing to inspect for gear tooth pitting, bearing play, seal condition, and keyway wear. Replace all sealing elements and the breather. Document findings for trend analysis.

Mechanical seal component replacement: Even if no leak is visible, replace the friction faces and elastomers at scheduled intervals based on operating hours and the nature of the processed media (sugar syrup, gelatin, acid/alkali CIP). During installation, ensure shaft runout is within tolerance, sealing faces are clean, and lubrication is properly applied.

Conveyor system geometry: Re-calibrate roller, idler, and rail parallelism to maintain repeatable depositing accuracy. A fraction of a millimeter of drift at the depositor head translates to inconsistent candy weights and rejected product.

Maintenance data review: Use the equipment maintenance log to track every lubrication, oil change, chain replacement, seal service, and unplanned stoppage. Identify repeat alarm points—for example, a gearbox that consistently runs hot, or a chain that repeatedly stretches—and address the root cause through design modification rather than repeated reactive repair.

6. Special Operating Scenarios

After CIP / high humidity exposure: Wipe or blow-dry exposed transmission components. Briefly jog the line to redistribute lubricant. Inspect stainless steel surfaces for scratches that could trap chlorides and initiate pitting corrosion.

Extended shutdown (holidays or off-season): Perform a thorough cleaning and complete drainage. Apply a thin film of food-grade rust-preventive oil to exposed transmission parts (remove before restart). Periodically rotate shafts or run the line unloaded to prevent bearing raceway brinelling and seal adhesion.

Seasonal temperature swings: In cold weather, run the line unloaded for 5–10 minutes at startup to allow oil to flow and form a proper film. In hot summer conditions, monitor motor and gearbox cooling, and verify that grease viscosity remains suitable for the elevated ambient temperature.
